Reasons to use Numbers on your Mac for Invoices

It's easy to overlook Numbers for Mac when it comes to your business spreadsheet requirements, with many opting to spring for Microsoft Excel instead. But don't underestimate this free app from Apple, most especially if you're on a quest to create your own invoices.

Numbers for Mac is for you if you're looking for visual impact but need competent spreadsheet capabilities. In short, it's perfect for a professional invoice template.

Apple's Numbers makes it easy to impress your clients, but still enjoy the ease of spreadsheet functions for your invoice templates. You'll never need to manually calculate totals from your hourly rates or compute tax discounts. You can even set up your Numbers invoice template to update your invoice numbers automatically.

Best of all, the app is free for MacOS and iOS users. For literally nothing, you can create a professional invoice that fits your brand and charm your clients.

Did you know InvoiceBerry also has an online invoicing software to help create, send and manage your invoices?

InvoiceBerry simplifies invoices and expense tracking, helping you save time and money. Create your first invoice in the next 5 minutes.

How to customize your Numbers template

If you're looking to customize your invoice template to fit your brand, it's easy to do so. Within minutes, you can have one that fits your business industry, whether you're looking for pest control invoice templates, sales invoice templates, consulting invoice templates, or any other industry.

You can start off with the built-in invoice template by choosing File > New, and double-clicking the available invoice template. This gives you the basic information and fields needed for your invoice template.

You can make any changes you like once the invoice is open. Put in your logo, remove the fields you don't need, add your own text such as your business details and standard information like payment terms, inclusions, and other country-specific requirements like if you’re making a US or UK invoice template. You won't have to keep entering these details in the future if you put them in now.

Once you're happy with your changes, simply choose File > Save as Template, then choose the option to save the spreadsheet as a new template.

The edited template will show as a new version of the older template. You can rename this version for easier access by Control-clicking the template name and choosing Rename.

In the future, whenever you need to create invoices, simply select your beautiful invoice template from the My Templates category of the template chooser.

How to Print or Share Numbers Invoices to Clients

Creating new invoices is as easy as choosing File > New and selecting your customized Numbers invoice template from the My Templates category in the template chooser. This allows you to key in the invoice details for your clients.

If you need to send a printed copy, that's easy. Simply select File > Print, and double-check other print options, such as content scale, print sheet background, page numbers, and the like.

If you're planning to send a soft copy of the invoice to your client, it's always a good idea to only send PDF invoices that can't be edited by either party. Everyone can view PDF invoices, so you won't have to worry about what operating system they are using.

To do this, simply choose File > Export To when the invoice is open in your Numbers app, and select the PDF format. You can also set up a password to open the invoice. Enter a file name for your PDF invoice and save it to your computer.

Once you have the file in your computer, you can send your invoice using whatever method works best for you and your client.

Numbers vs Other Formats

The best app to make your invoice template is the one you already have. For many Mac users, that means the freely available Apple Numbers is the best option. But by choosing Numbers, you get a lot of benefits over other formats, too.

Pages, like Numbers, is free for MacOS and iOS users, but while formatting is also a breeze for Pages, you'll lose out on essential spreadsheet functions that will make your life easier when it comes to creating many invoices.

Excel invoice templates have more powerful spreadsheet functions, but in addition to an extra price tag, you won't have the more powerful visual and layout capabilities that Numbers has over Excel.

If online connectivity is important to you, you can consider using a Google Docs or Google Sheet invoice template, giving up some layout limitations in the process.

Of course, if you're looking for not only online connectivity but even more helpful functions like allowing your clients to pay on the invoice itself, scheduling recurring invoices, and easier tracking of invoice status, try an online invoicing software like InvoiceBerry. As you scale your business, an invoicing software will help you dedicate more time to strategy, rather than getting bogged down with invoicing.
